One-Time vs Recurring Cleaning Prices: Worked Quote Example

One-time deep cleaning and recurring maintenance often have different labor and material requirements. A repeat customer does not necessarily mean a discount: first compare the actual scope and costs of the two services.

Define the difference in service

A one-time clean may include buildup removal, extra bathrooms or appliance interiors. A recurring maintenance service may take less time if the condition stays consistent. Write separate checklists before quoting so that each price represents a clear deliverable.

Example: estimate costs per visit

Here is a fictional example with a fully loaded labor cost of $23 per hour. These are teaching numbers, not typical wages or recommended local prices.

Cost One-time clean Recurring visit
Labor 4 hours × $23 = $92 3 hours × $23 = $69
Supplies $14 $12
Travel $18 $18
Direct job cost $124 $99

Travel and setup should be modeled for each visit, even if the cleaner is familiar with the property. Include the full labor burden rather than assuming owner time or employment costs are free.

Convert costs to a target price

Assume a desired contribution margin of 40% after direct costs and a sample card fee of 3% plus $0.30 per payment.

Price = (direct cost + $0.30) ÷ (1 − 0.40 − 0.03).

The resulting sample calculations are ($124 + $0.30) ÷ 0.57 ≈ $218.07 for the one-time visit and ($99 + $0.30) ÷ 0.57 ≈ $174.21 for the recurring visit. If rounded to $220 and $175, the sample contributions after job costs and payment fees are $89.10 and $70.45, respectively.

Contribution covers costs that have not yet been included, such as monthly overhead. It is not net income, and the formula does not predict customer demand.

Avoid five common quoting mistakes

  • Confusing margin with markup: a 40% markup on cost does not produce a 40% contribution margin on price.
  • Ignoring travel: miles, parking and setup add real costs.
  • Skipping admin time: scheduling, estimates and reschedules also require work.
  • Assuming recurring jobs always take less time: check actual service duration over time.
  • Relying on perfect attendance: cancellations and seasonality affect monthly results.

Communicate the offer clearly

Describe the recurring plan's frequency, included tasks, optional extras, rescheduling rules and when a new deep-clean charge could apply. The two prices need not be presented as the same service with an arbitrary percentage off.
